Abstract Submission Guidelines

ABSTRACT SUBMISSION - NOW OPEN

Oral, Poster, and Video submission

21st Annual National conference of Indian chapter of IHPBA, 2025 invites all interested individuals to submit abstracts for Oral, Poster and Video presentations.

Content Specifications

Topic - Abstracts can be submitted under the following topics:

★ Liver (Benign)

★ Liver (Malignant)

★ Pancreas (Benign)

★ Pancreas (Malignant)

★ Biliary (Benign)

★ Biliary (Malignant)

★ General HPB

★ Liver Transplant

★ Pancreas Transplant

The authors should choose ONE TOPIC ONLY FOR EVERY SUBMISSION. If an abstract relates to more than one of the topics below, please select the most appropriate one.

Each topic category will accept submissions for

- Abstract

- Video

- Case Report

DO NOT SUBMIT THE SAME PAPER FOR MORE THAN ONE CATEGORY

Structure - Papers should be structured as per the given headings:

ABSTRACTS

Title

(should be concise & to the point, clearly conveying the subject of the abstract)

Introduction

(briefly & clearly describe the objectives & the hypothesis of the study)

Methods & Materials

(should describe the study material or study subjects including details of the experimental material & methods employed in the study)

Results

(should describe the results of your study in a logical sequence)

Conclusion

(should emphasize new & important aspects of the study & conclusions that are drawn from them)

Only one image/graph/table/illustration may be included. It should be uploaded as an attachment in PDF or JPG format only.

CASE STUDIES

Title

(should be concise & to the point, clearly conveying the subject of the case)

Case Description

(should provide a brief description about indicating the content of the study)

Conclusion

(should mention why the case is worth presenting including its novelty & clinical relevance)

Only one image/graph/table/illustration may be included. It should be uploaded as an attachment in PDF or JPG format only.

VIDEO ABSTRACTS

Video abstracts submission must contain

- an Abstract &

- a Link of your Video Presentation

It should be structured under the given headings:

Title

(should be concise & to the point, clearly conveying the subject of the video)

Introduction

(briefly & clearly describe the objectives & the hypothesis of the procedure)

Brief Description of the Video

(should provide a brief description about the content of the Video)

Conclusion

(mention why the video is worth presenting including its novelty & clinical relevance)

Link of the Video

(provide only a link of the video. Any other text should not be mentioned here)

Please follow the INSTRUCTION FOR THE VIDEO PRESENTATION (specified below) while editing the video.

INSTRUCTIONS FOR THE VIDEO PRESENTATION

★ Video presentations must be narrated and edited in English.

★ The Video should be a maximum of eight minutes. A maximum file size of 400 MB is permitted.

★ Preferred video formats are AVI, MPG only.

★ The Video file should be well edited with a spoken narrative explaining the objectives and the methods used during the procedure.

★ The Video file should be named as Video Presentation_Presenter’s Name (eg. Video Presentation_Dr Mohit Kumar)

★ The title of the video presentation should be displayed as a caption throughout the video.

Please make sure that the given link is accessible till you get an acceptance notification.

★ Video presentation link must be given at the time of abstract submission.

GENERAL INSTRUCTIONS

Word Count : limited to 350 words, excluding the title

Title : limited to 40 words, don’t put full stop (.) at the end of the title

Language : English, clear and concise

★ Please proofread the abstract for spelling and grammar before submitting it.

★ The brand names or name of the manufacturers for any drug or equipment is strictly prohibited. Use generic name(s).

★ Use numerals to indicate numbers, except to begin sentences.

★ Standard abbreviations are acceptable. Uncommon abbreviations must be put in parentheses and preceded by the full word the first time it appears in the text.

RESPONSIBILITIES OF THE AUTHORS INCLUDE

★ The data presented should be the original work of the author and have not been plagiarized from any other source.

★ Work that has been previously presented at national meetings or international meetings other than IHPBA may be submitted to IHPBA 2024 national conference.

★ Work that has previously been presented at IHPBA should not be re-submitted.

★ For clinical work, it is encouraged that all work should have been reviewed and approved by institutional or regional ethics boards and that all co-authors must be familiar with the final submitted abstract.

★ Concerning basic science work, it is obligatory to provide a statement in the text of the abstract confirming the ethics committee review of work.

★ Avoid personal criticisms of individuals in the abstract. Criticism should be restricted to scientific contents, based on evidence

Submission Specifications

★ Only TWO submissions will be accepted in the ABSTRACT category. No limit for VIDEO and CASE REPORT category submission.

★ Papers, SUBMITTED ONLINE ONLY, will be accepted. Papers sent via mail will not be accepted for review. Late submission will not be accepted.

BURSARY APPLICATION

★ Please select the ‘I want to opt for Bursary Programme’ option while submitting your papers

★ One can apply for a Bursary for more than one submission

★ If your paper does not qualify for Bursary, it will be allotted for oral, video or poster presentation.

It is mandatory for all bursary applicants to REGISTER FOR THE CONFERENCE PRIOR TO THE LAST DATE OF ABSTRACT SUBMISSION otherwise their bursary application will not be considered.

PRESENTING AUTHOR

★ Please select the Presenting author MUST BE a registered delegate.

★ Submitting a paper DOES NOT register one for IHPBA India 2025 unless the payment formalities are completed.

★ In case of an exception, the scientific committee will make the decision. All correspondences (regarding review, selection and presentation details) will be mailed to the PRESENTING AUTHOR ONLY.

ALL THE SUBMITTERS ARE HEREBY REQUESTED TO GO THROUGH THE FOLLOWING CAREFULLY

★ Author and co-author details - Full name, affiliation details such as department, institution/hospital, city, state, country should be mentioned properly.

★ Contact details - (e-mail, ph no) of the presenting author should be mentioned properly. Please do not mention any other contact.

COPYRIGHT

★ Submission of a work signifies the author’s consent to publish (in case) the same as a part of IHPBA India 2025 proceedings.

★ The scientific committee also reserves the right to reproduce the abstracts/presentations made in the conference in print or electronic media.

ABSTRACT REVISION

★ Submitted papers could be EDITED or REVISED ONLINE ONLY. Please log in to your IHPBA India 2025 Abstract Profile for the same.

★ Abstracts can be revised till the submission is open.

PLEASE AVOID THE RESUBMISSION OF THE SAME PAPER.

Review Specifications

★ All papers will be reviewed online by an experts' panel through an unbiased, blinded selection process. Papers will be selected on the basis of their medical and scientific content, quality of data and methodology and adherence to specific format requirements

★ Once selected, the Presenting Author of the selected papers will be informed accordingly via email.

★ The scientific committee holds the sole right to accept or reject papers, to assign those for an oral, e-poster, video oral or video e-poster presentation and to decide on the final slot allocation.
